Precautionary measures for COVID-19

As a company we are taking the outbreak of the COVID-19 Virus very seriously and as such have set about implementing our business continuity plans.

As we are ISO 9001, 14001 and 27001 certified, we have extensive contingency plans in place which are operational and will extend further as and when government guidelines regarding the virus change.

We have measures in place to protect both our staff and customers in the areas of; ergonomic and technical assessments, delivery set up & familiarisation, and assistive technology training.

Additionally, please rest assured that throughout our warehouse facility, our team are using new gloves for each piece of equipment touched and all items are being sanitised before and after any work is carried out. Returned items are also being quarantined for a period of 48 hours before any evaluation / work commences.

All our office-based and field staff have been instructed to follow the guidelines and self-isolate if necessary. Our office-based staff are fully functional to work from home ensuring business continuity and the highest standards of customer care are in place

Face-to-face training sessions
All training appointments will continue to take place online until further notice. If you have a pre-booked face-to-face appointment, our AT trainers will contact you on the day of your appointment to set up a remote session. You will subsequently receive a link to join an online training session where you can speak to their trainer through your computer. At this stage our trainer will run through a disclaimer containing all the important information before the session commences.
Online training is carried out on 1-to-1 basis and is designed to be hands-on, allowing customers to use the equipment and software to its full potential.

Ergonomic and workplace assessment appointments
All assessments will take place online until further notice. If you have a pre-booked face-to-face appointment, our assessor will contact you on the day of your appointment to set up a remote meeting. You will subsequently receive a link with joining instructions allowing you to speak with your assessor online. At this stage our trainer will run through a disclaimer containing all the important information before the meeting commences.
For home-workers we are able to transfer your office DSE assessment to a home worker assessment with the approval of your line manager.

Ergonomic equipment delivery appointments
These appointments are now available only with drop-off at the doorstep. No assembly will take place in customer’s homes. Deliveries of equipment: Items in short supply
Some peripheral items which we receive through our supply chain are currently in short supply due to restrictions on items being imported into the country and limitations on quantities which we are currently able to purchase from our suppliers.

Unfortunately this means that some items are missing from orders which we are currently sending out to students.

We are doing our best to source alternatives where possible and if you are missing items from your delivery, we will send these out as soon as stock becomes available to us.

VELA Chair Assessments
We are now able to offer assessments again either at home, school or in the workplace. In order to comply with COVID-19 Government guidelines, our specialist Vela assessors will wear full PPE (mask, gloves and plastic disposable apron) and where possible, complete the assessment at a social distance.

If possible, we ask that assessments take place in a large open space to try and reduce the amount of contact with other people. Our assessors will also follow any extra measures set out by the school or business they are visiting to complete the assessment. In this instance, please ensure these measures and any risk assessment necessary are provided to us at the point of booking.

If a face to face appointment is not possible, we can provide remote assessments completed via a video link. Our Vela Specialist Assessors are experienced and able to recommend chairs using their knowledge of the common conditions and postural needs of children.
In order to recommend the correct size and equipment, our assessors would need to discuss each case with the Occupational Therapist in detail. The assessor will also require the measurements of the child.

VELA Setup
Setups will be carried out by one of our specialist Vela Assessors. In order to comply with COVID-19 Government guidelines, our specialist Vela assessors will wear full PPE (mask, gloves and plastic, disposable apron) and where possible complete the setup at a social distance.
If possible, we ask that the setup take place in a large open space to try and reduce the amount of contact with other people. Our assessors will also follow any extra measures set out by the school or business they are visiting to complete the assessment. In this instance, please ensure these measures and any risk assessment necessary are provided to us at the point of booking.

If a face to face setup is not possible, we can offer a video link setup. We can currently use either Facetime or WhatsApp video links to do this. You will be connected with one of our Vela Specialist Assessors, who will have their demonstration chairs in shot and will use these chairs to demonstrate and guide the parent or carer through the setup of the chair.
We would recommend that the child’s Occupational Therapist joins the video call. If this is not possible then we would request the Occupational Therapist contacts the Vela Assessor prior to the setup to discuss the seating position that they wish to achieve for the child.
Finally, if the occupational therapist is not able to join the video call, we recommend they make contact with the parent/carer after the setup to help ensure everything is correct.

Fitting of VELA Parts
The fitting of new parts to existing Vela chairs can now be completed at home/school or place of business. In order to comply with COVID-19 Government guidelines, our specialist Vela assessors will wear full PPE (mask, gloves and plastic, disposable apron) and where possible complete the fitting of parts at a social distance.

Our assessors will also follow any extra measures set out by the school or business they are visiting to complete the fitting of parts.
